How it works

The order follows a normal month in the office: file the documents, check what was read, create the entries, review them and export them into the company’s program.

01 Filing

Filing into the company’s archive

The archive is the base: everything filed for a company — invoices and bank statements — stays there, so nothing is lost between months.

Which files

Invoices as PDFs, photos and scans, Word (.docx), and emails saved from Outlook (.eml) — the attached invoice is filed without saving it by hand first. Bank statements as PDF or image.

Under which company

Pick the company at the top and the document type. A document filed under the wrong company is moved with “Move to another company” — file and history included — and read again against the right EIK.

Issued invoices

An invoice the company issues is created in the app: the supplier is filled in, you type the recipient and lines, and the page is drawn beside you. It is filed as a sale at high confidence — nothing to confirm.

No period at filing

A document is not tied to a month. If it turns out to belong to another month, that is a filter question, not a re-upload.

02 Reading

Reading and confidence

Each document is read as it is filed: number, dates, counterparty, EIK and VAT number, net, VAT and gross.

High, medium, low

High means the document was read cleanly. With medium or low you open “View”, compare with the document, correct the field in the row and press “Confirm”.

The gate

A document without high confidence does not go into entries. The entries panel shows how many documents await confirmation — those are the ones a run would skip.

Bank rows

Statements most often get the direction (debit/credit) and the IBAN wrong, so both are corrected right from the row. The company’s IBANs tell which side of a transfer it is.

Totals as a check

Count, net, VAT and gross above the table cover the whole filter, not just the page on screen — a quick check against the VAT ledgers.

03 Entries

Entries in the company’s chart of accounts and rules

The panel to the right of the archive turns filed documents into entries — for a period or for hand-picked rows.

The chart of accounts

Each company has its own chart, uploaded as CSV, PDF or XLSX. Without one no entries are created, and the button says why.

The rules

Standing instructions per company, separately for invoices and bank transfers — e.g. supplier → 401-2-2, or “rent” in the reference → 602-1-1. They apply before anything else; a rule you no longer need is switched off, not deleted.

The proposal

For each document: debit, credit and VAT account from the chart. “auto” only when the account and the counterparty matched unambiguously.

Failed rows

“Retry failed rows” reruns only those, not the whole run.

04 Review

Review and corrections

The “Accounting entries” window opens by itself with counts per status. Each row shows the document, its date and counterparty.

Accounts are editable

Type over a proposed account you disagree with.

The reason is on the row

“review” and “blocked” say what stopped them — most often an unconfirmed document, or a counterparty listed more than once in the chart.

05 Export

Export, then mark as posted

Pick the accounting program — or a plain XLSX, CSV or PDF — then the file’s language and where to save it.

The company’s programs

Export offers the programs ticked for the company. With none ticked, all are offered.

File language

The file language is separate from the window language: read the table in English and still hand over a Bulgarian file.

Posted — after export

“Mark as accounted” unlocks only after a successful export. It is the only thing that takes documents out of the next run — a discarded export costs nothing.

06 The office

The office: people, companies, trail

The owner manages employees and client companies; accountants work with everything else.

Invitations and roles

Accounts exist only by the owner’s invitation. Roles are Accountant and Owner. A removed employee cannot sign in, but nothing they filed is deleted.

One person, one computer

A second sign-in on another computer is refused while the first is working. A computer that crashed or lost its connection frees the account within 10 minutes, and the owner can end a session at once.

Audit trail

Actions are written to a hash-chained audit trail on the computer and shipped to the cloud; the owner reads them under “Activity”.

Exporting the archive

When you leave or move to a smaller plan, support opens exporting: the whole archive — every invoice and statement of every company — downloads as ZIP files per company and year, with an index.csv for every document.
